Roles of the Executive Members

President (1)
Description: The President oversaw and supervised the club's activities and direction throughout the year including having planned, organized, and attended its events and meetings.
Requirements: The President must ensure that the Executive team meets for at least one hour every week throughout the school year to talk about events and to track the club's progress. The President must be present for at least 90% of these weekly meetings and assure that the group organizes at least three events throughout the year. During the year, the President must ensure that the group maintains its office space, ULife recognition, and CCR recognition and attends any meetings required for the fulfillment thereof.
Vice President (1)
Description: In close association with the President, the Vice President helped oversee the administrative operations of the club such as planning and organizing meetings and gathering availabilities of Executive members when required. Along with the Treasurer, the Vice President also acted as a signing officer for the club's financial account and helped to maintain any information associated with it.
Requirements: The Vice President must be present for at least 90% of the club's weekly Executive meetings and helps in assuring that the group organizes at least three events throughout the year. If a second representative is needed, the Vice President together with the President assures that the group maintains its office space, ULife recognition, and CCR recognition and attends any meetings required for the fulfillment thereof. During the beginning of the year, the Vice President also fills up and submits the bank letter request form to switch signing officers for the club's bank account.
Secretary (1)
Description: The Secretary was responsible for taking attendance and minutes at meetings, distributing them to the Executive team following each meeting, and maintaining the club's email account and Listserv.
Requirements: The Secretary must be present for at least 80% of the club's weekly Executive meetings. The Secretary must also take and distribute meeting minutes and attendance to the Executive members. They must also reply/acknowledge emails, mails, add new members to the litserv, and send periodic emails to the members throughout the year. The Secretary also helped in the planning and organization of club events.
Treasurer (1)
Description: The Treasurer prepared the budget of the club, kept an uptodate list of financial contacts, and maintained up-to-date and accurate records detailing the organization's financial operations. They also helped in the organization of and participated in the group's events and meetings.
Requirements: The Treasurer must be present for at least 80% of the club's weekly Executive meetings. In the beginning of the year, the Treasurer together with the Vice President must switch the bank account rights under their name for the new term of office. At the end of each event, the Treasurer updates the group with the club's finances. The Treasurer also keeps track of and organizes the records of receipts and financial transactions. At the end of the year, they will present the group with the overall finances the group underwent throughout the year.
Communications Director (1)
Description: The Communications Director was responsible for external communication in terms of acquiring sponsorships/fundraising support from corporate and business sources. They also helped in the organization of and participated in the group's events and meetings.
Requirements: Prior to club events such as galas and socials, the Communications Director sends out sponsorship emails and letters to various corporate and business establishments. This includes, but is not limited to, coffee shops, cafes, restaurants, pubs, and event locations. They also sent followup emails/letters after the events to thank the sponsors and to maintain close contact. The Communications Director must also be present for at least 80% of the club's weekly Executive meetings.
Education and Awareness Coordinator (1)
Description: The Education and Awareness Coordinator created awareness campaigns to educate the campus community about the club's mission and issues surrounding child poverty and exploitation.
Requirements: The Education and Awareness Coordinator must be present in at least 80% of the Executive meetings. They must also provide an educational component to all of the club's events throughout the year, create and host an educational event, and compose one education blog post each semester to be posted on the club's website.
Volunteer Coordinator (1)
Description: The Volunteer Coordinator was responsible for recruiting and managing the group's general members/volunteers.
Requirements: The Volunteer Coordinator must be present in at least 80% of the Executive meetings. They must also keep the general members/volunteers updated on events through email. They also organize and lead the organization’s general meetings (which doubles as a social) each semester (two meetings for the whole year). Likewise, they helped out in other events the group hosts throughout the year.
Marketing and Promotions Director (2)
Description: The Marketing and Promotions Director created and promoted the organization’s information via email and other mediums about events, meetings, socials and other related information. They also contributed to the planning and execution of events.
Requirements: The Marketing and Promotions Director must be present in at least 80% of the Executive meetings. They must also advertise all of the club's events by posting them on the Facebook page, onto various Facebook groups, creating and putting posters, and such. They are also in charge of collaborating with other student groups on campus.
Undergraduate Representative (4)
Description: The Undergraduate Representative was responsible for liaising with the school community to promote the organization's goals, values, and events. They also shadowed another Executive member in their work and contributed to the overall goals of the organization, including the planning and promotion of events and activities.
Requirements: The Undergraduate Representative must be present in at least 80% of the Executive meetings. They will also work closely with the club's general members and volunteers. They must also shadow another Executive member in a position that most interests them and must work closely with them throughout the rest of the year to ensure the club's goals are met. This includes learning the various duties of the Executive member, sharing ideas and possible strategies, and aiding in the fulfillment of these duties.
* Undergraduate Representatives are elected during the Fall Elections together with any positions that were not filled during the Spring Elections
